Pricing permissions decide which buying rates and margins each person in your team can see. An administrator grants or revokes, per user, every combination of service mix and trade — Import, Export, Domestic and Cross Trade. Where a combination is revoked, the buying rates and margin sections disappear for that user in Instant Quotes, Quotes and Sales Proposals; selling rates and the customer-facing quote workflow stay available, so the person keeps selling while your costs stay confidential. This article covers reading the matrix, revoking and granting combinations, and what the user sees afterwards.
It does not cover the capabilities on a user's own profile — see How to manage your user profile — or who is allowed to edit service mixes and pricing templates, which are separate permissions.
Before you start
- Only an administrator in your company sets pricing permissions. If you are not one, ask your Freightools administrator.
- The person is a team member of your company. Team members are managed under Team Members in Settings — see Where to find your user and company settings.
- The matrix is built from your service mixes. A service mix that does not exist yet has no row to grant or revoke — see How to configure a service mix.
Open the pricing permissions matrix
Pricing permissions are set on the user's permissions, opened from Team Members in Settings. The matrix lists every service mix of your company against the four trades — Import, Export, Domestic and Cross Trade — one cell per combination.
Read the matrix
| What you see | What it means |
|---|---|
| A service mix | One row of combinations, one per trade. |
| A trade — Import, Export, Domestic, Cross Trade | The trade direction the combination applies to. |
| A combination that is granted | The user sees buying rates and margins for that service mix on that trade. |
| A combination that is revoked | The user does not see buying rates or margins for that service mix on that trade. |
Every combination is granted by default. A new team member sees every buying rate and margin until you revoke something.
Revoke or grant a combination
- Open the user's permissions.
- In the matrix, revoke each combination the user is not to see. Each one is revoked independently — you can hide Ocean FCL Import and leave Ocean FCL Export visible.
- Grant a combination again the same way when the user is to see it.
- Save once. One save writes every change you made in the matrix.
Note: The matrix is per user. Revoking a combination for one team member changes nothing for the others.
What the user sees after a combination is revoked
| Screen | Revoked combination | Still available |
|---|---|---|
| Instant Quotes | Buying rates and margin sections are not shown. | Selling rates and the search. |
| Quotes | Buying rates and margin sections are not shown. | Selling rates and the customer-facing quote workflow. |
| Sales Proposals | Buying rates and margin sections are not shown. | Selling rates and the customer-facing quote workflow. |
The user still prices and sends quotations for a revoked combination: the selling side of Edit Pricing and sending the quotation to the customer are not affected. What the user cannot do is read what the shipment costs you, or the margin between the two.
For a team member, a quotation with no buying rates and no margin section is not a loading error. It is a combination an administrator has revoked for them.
Pricing permissions are not editing permissions
Pricing permissions decide what a user sees. Who is allowed to edit a service mix, and who is allowed to edit a pricing template, are two separate permissions — see How to build pricing templates and use selling by route. The capabilities a user ticks on their own profile are a third thing again — see How to manage your user profile.
If something goes wrong
| You see | What to do |
|---|---|
| A team member cannot see the margin on a quotation | Open the user's permissions and read the cell for that quotation's service mix and trade. |
| A team member can still see buying rates you meant to hide | Check that you saved the matrix, then check the trade of the quotation — Import and Export are separate cells, and a combination hidden on one trade is still visible on the other. |
| A team member sees buying rates on one service mix but not another | That is the matrix working: each combination is granted or revoked on its own. |
| You cannot open a user's permissions | You are not an administrator. Ask your Freightools administrator. |
| A team member cannot edit a pricing template, although their pricing permissions are all granted | Template editing is a separate permission. See How to build pricing templates and use selling by route. |
