The AI Pricing Assistant gives you a margin suggestion for the quotation in front of you, so you are not guessing what this customer will accept on this routing. This article covers where the assistant sits, what Get Suggestion does, what the suggestion is based on and what it is not. It does not cover changing the prices themselves — that is How to edit quotation pricing before sending.
Before you start
- Have the quotation open with a customer selected. The assistant learns from that customer's history, so the suggestion belongs to the customer on the quotation — see How to select a customer and check the quotation margin.
- Read the margin preview first. The Margin Preview card shows your Buying Total, Selling Total, Margin Value and Margin %; the assistant sits right under it, and a suggestion is only useful against the margin you already have.
- Treat the suggestion as advice. The margin on the quotation is the salesperson's decision.
Get a margin suggestion
- On the quotation, find the margin preview in Price Breakdown & Margin.
- Right under it is the AI Pricing Assistant — "Suggests the highest margin the customer is likely to accept, based on won and lost quotes from the last 12 months." Click Get Suggestion.
- The assistant evaluates the quotation in front of you against your company's quoting history and answers with four cards, an explanation and a Based on table. The button becomes Refresh.
- Compare the SUGGESTED MARGIN with the Margin % on the card above, and decide what you are sending. There is no apply button: prices are changed in Edit Pricing, with Apply Markup on the Selling tab — see How to edit quotation pricing before sending.
Read the suggestion
| Card | What it shows |
|---|---|
| SUGGESTED MARGIN | The margin the assistant proposes, with Current: — the margin on the quotation now — under it. |
| SUGGESTED SELLING | The selling total at the suggested margin, with the current selling total under it. |
| RANGE | The margin band the assistant considers acceptable, and the selling totals that band gives. |
| CONFIDENCE | How sure the assistant is of the suggestion — Low, for example. |
Under the cards, one sentence explains the reasoning — for example, that the customer won at a given margin on the same route and no drop in win rate is seen in the next band up, so staying at that margin maximizes profit while keeping the approval chance.
The Based on table shows the history behind the suggestion. Its rows are This customer, same routing, This customer, other routings and Other customers, same routing; for each it gives the Won / Lost counts and the Won median margin. Read the counts before you follow the suggestion: a row with few quotes behind it carries less weight.

What the suggestion is based on
The assistant learns from your company's quotes over the last 12 months:
- the quotes you won and lost with this customer — on the same routing and on other routings — and
- the quotes other customers won and lost on the same routing, with their margins.
It then evaluates the quotation you have open against that history and suggests the margin most likely to win.
Two things follow from that. The suggestion rests on the quotes behind it, so it carries more weight for a customer and a routing you quote often than for a customer you have never quoted. And the suggestion is about winning, not about your cost: the assistant proposes the margin the customer is likely to accept, which is not the same as the margin your business needs on the shipment. Read the Buying Total on the margin preview before you follow a suggestion down.
Where your data stays
The assistant works inside Freightools, on your company's own quotes only.
What the suggestion is not
- It is a recommendation, not a guarantee. A quotation sent at the suggested margin can still be lost.
- It is not a floor or a ceiling. The salesperson decides the margin; the assistant gives one more input to decide with.
If something goes wrong
| You see | What to do |
|---|---|
| No AI Pricing Assistant or Get Suggestion under the margin preview | Tell your Freightools contact which quotation you had open. |
| CONFIDENCE reads Low | Few won or lost quotes sit behind the suggestion. Read the Won / Lost counts in the Based on table before you follow it. |
| The suggested margin is far from your Margin % | Neither figure is wrong by itself. Yours is what you have priced; the suggestion is what this customer and this routing have accepted before. Decide which you are sending, then set the prices in Edit Pricing — the assistant has no apply button. |
| The suggestion looks low for a shipment with a high buying cost | The assistant proposes what the customer is likely to accept, not what covers your cost. Read Buying Total on the margin preview and price to your business first. |
