When an employee leaves your company, deactivate their Freightools user. They can no longer sign in, and everything they worked on stays in Freightools: their quotes, shipments and history are kept. You can reactivate the user later.
The Edit User window has no delete option. Deactivating is how you remove someone's access while keeping their records.
Before you start
- You must be a System Administrator. Only users with the System Administrator access level can deactivate users.
Deactivate the user
- Click your name or avatar in the top-right corner and choose Company Settings.
- In the left-hand menu, click Team Members.
- Find the user and click anywhere on their row. The Edit User window opens.
- Under Security & Account Status, untick Account enabled. The label changes from Active to Disabled.
- Click Save Changes. Freightools shows "User saved successfully."
What happens next
- The user can no longer sign in to Freightools.
- Their quotes, shipments and history stay in Freightools.
- Their status becomes Inactive. The Team Members list opens on Active users, so they no longer appear there unless you change the Status filter.
Find or reactivate an inactive user
- In Team Members, set Status to Inactive, or to All to see everyone.
- Click the user's row.
- Tick Account enabled so it shows Active.
- Click Save Changes.
The colleague can sign in again.
When a colleague's email address changes
Deactivating is also how you retire an old address: add a new user with the new email address, then deactivate the old user. See How to add a new user to your company.
If something goes wrong
| What you see | What to do |
|---|---|
| You cannot find the user | Set Status to All. They may already be inactive. |
| You cannot open the user or save your changes | Only a System Administrator can deactivate users. Ask one in your company. |
| "Failed to save user." | Save again. If it keeps failing, contact Freightools support. |
