How to use the Agreements Explorer

Work on many agreement lines at once in the Agreements Explorer (Tariffs → Explorer Agreements) — filter by operation, activity, type, supplier, customer, carrier, validity, expiration and creation dates and location, read every surcharge in its own column, switch on Bulk Edit to change values in place and save them in one pass, download the view to Excel, and know where the ordinary buying and selling agreement export lives.

The Agreements Explorer is where you work on many agreements at once — buying or selling, chosen with the OPERATION filter — instead of opening them one by one. It pivots your agreement lines across suppliers, carriers, routes and charge types, so every surcharge sits in its own column and every value can be edited where it is. Filter down to the lines you want, change them, and save once. This article covers opening the Explorer, filtering, editing and saving, downloading the view to Excel, and where the ordinary agreement export lives.

It does not cover creating one agreement or building its price lines. For that, see How to create or edit buying agreements in Freightools and How to add or edit rates and charges in a buying agreement.

Before you start

  • The Explorer edits the agreements your company already holds. An agreement that does not exist yet is created from the Buying Agreements grid (Tariffs → Buying Agreements, button New Buying Agreement Activities), not here — see How to create a buying agreement manually.
  • The Explorer can filter by geo area. Geo areas are set up in advance — see Creating a New Geo Area.
  • If Explorer Agreements is not in your Tariffs menu, ask your Freightools administrator. What you can open depends on your permissions.

When to use the Explorer instead of the Buying Agreements grid

The Buying Agreements grid (titled Buying Agreement Activities) lists agreements one per row, and you open each one on its own — select it and click Edit Selected — to read or change its price lines. That is the right place for one agreement.

The Explorer is for the change that touches many agreements at once: a carrier raises a surcharge on every lane out of one region, a supplier's validity dates move, a whole trade lane needs re-pricing. Instead of opening agreements one by one, you filter to the lines concerned, read them side by side, change the values and save them in one pass. It handles tens of thousands of agreement lines.

Open the Agreements Explorer

In the main menu, open Tariffs → Explorer Agreements — the same menu that holds Buying Agreements and Selling Agreements. The page is titled Agreements Explorer (PIVOT & BULK EDIT). MATCHES at the top is the number of lines the current filters return.

Read the view

The Explorer pivots your agreement lines across four dimensions: supplier, carrier, route and charge type.

What you seeWhat it means
A rowOne agreement line — its ID, SUPPLIER, CARRIER, FROM DETAILS and TO DETAILS, then its charges.
A column per charge typeEvery surcharge in its own column, so you read one charge across every lane rather than one lane's charges at a time.
A valueThe price on that line for that charge. Every value is editable.

Reading a surcharge column from top to bottom shows you at once which lanes carry that charge and at what price — the comparison that takes a separate window per agreement in the grid.

Filter down to the lines you want

Use the filters to narrow the view to the lines you mean to read or change, then click APPLY FILTERS. RESET clears them all. The filters are grouped:

GroupFilterNarrows the view to
GENERALOPERATIONSelling or Buying agreement lines.
GENERALACTIVITYLines of one activity.
GENERALTYPELines of one agreement type — Freight, for example.
PARTNERSSUPPLIERLines of one supplier.
PARTNERSCUSTOMERLines belonging to one customer.
PARTNERSCARRIERLines of one carrier.
DATE RANGESVALIDITY STARTLines whose validity start falls in the range.
DATE RANGESEXPIRATIONLines whose expiration date falls in the range.
DATE RANGESCREATEDLines created in the range.
LOCATION SEARCHAddresses or GEO Areas; FROM, TO, ATLines on a lane matching an address or a geo area at the origin, the destination or the place of the charge.
AI & AUDITAI SERVICE, AI LOG CREATED, CREATORLines created by one AI service or run, or by one user.

Rows at the bottom sets how many lines a page shows — 100, 500, 1000 or 2500.

The three date filters are separate. A line that is valid today but was created a year ago is kept by a VALIDITY START filter and dropped by a CREATED filter on this month, so when lines you expect are missing, check which date range is set.

Edit values in place and save once

  1. Filter to the lines you want to change and click APPLY FILTERS.
  2. Click BULK EDIT. The button becomes STOP EDITING and the values in the grid can be edited.
  3. Click a value and type the new one. You can change as many values across as many rows as you need; nothing is written yet.
  4. Click SAVE CHANGES. One save writes every change you made, so an entire trade lane is updated in one pass. STOP EDITING leaves edit mode.
Important: The Explorer edits the agreements themselves — a value changed here is the value in the agreement, not a copy. Read the whole filtered view before you save, because one save carries every edit in it.

Download the Explorer to Excel

The Explorer downloads to Excel. Use it to take the pivoted view out of Freightools — to check a tariff change with a supplier, or to review a lane away from the screen.

Where the ordinary buying and selling agreement export lives

The Explorer download is not the agreements export, and the Explorer has no Import or Export buttons of its own. The agreements export is the Export button on the Buying Agreement Activities grid (Tariffs → Buying Agreements), and it downloads agreements to Excel in the same shape that Import takes in — see How to create or edit buying agreements in Freightools. Buying and selling agreements export from their own grids: Selling Agreement Activities (Tariffs → Selling Agreements) has its own Import and Export. When you select buying agreements in the grid before you export, the export contains the agreements you selected.
