How to use your personal mailbox in Freightools

Open and work with your connected personal mailbox inside Freightools, including folders, search, quick filters, reading messages, composing, replying and reviewing sent quotation emails.

Updated 9/23/2026

After your personal mailbox is connected, Freightools provides an email client inside the application so you can work with that mailbox without leaving Freightools.

Before you start

Your personal mailbox must already be connected through Profile → Security → Email Connection. See /help/how-to-connect-your-email-to-freightools.

Open the mailbox

  1. Click the envelope icon in the Freightools header.
  2. The Mailbox window opens and shows the connected email address at the top.
  3. Use Inbox, Starred, Sent, Drafts or Trash to move between mailbox folders.
  4. Use Search emails... to search the mailbox.
  5. Use the quick filters Unread Only, With Attachments, Starred Only or Awaiting Reply when needed.
  6. Click Compose to start a new message.

The mailbox layout shows the connected address, Compose, Inbox, Starred, Sent, Drafts, Trash, Search emails and the four quick filters.

Read and act on an email

  1. Select a message from the email list.
  2. Read the full message in the right-hand panel.
  3. Use Reply or Forward from the message toolbar when needed.
  4. AI-generated email signals can appear directly on the email row. Hovering the AI analysis control can open the AI Summary panel.

An opened email appears on the right while its row on the left shows AI classification signals and the mailbox actions Reply and Forward.

Review sent quotation email

When a quotation is sent from the recorded quote workflow, the sent message can be reviewed from Sent in the same personal mailbox. The recorded example shows the quotation reply with the proposal attachment and Review full quote link inside the message.

The Sent folder shows a quotation reply email with the Default Sales Proposal attachment and the Review full quote button.

For the AI classification displayed on incoming emails, see /help/how-ai-email-intelligence-classifies-your-email.
