Standard Text allows you to create reusable content blocks for printouts such as confirmations, invoices, operational documents, and more. It ensures consistency, saves time, and enables dynamic content through parameters linked to specific entities.
These parameters automatically pull relevant data into the document at the time of printing.
Where to Find Standard Text
Go to:
Configuration (⚙️) → Process Management → Standard Text
This is where you can create, edit, and manage all your Standard Text templates.
How to Create a New Standard Text
- Click New Standard Text.
- Fill in the required fields:
1️⃣ Name
Choose a clear and descriptive name.
The name helps you quickly locate the correct text when configuring or managing printouts.
Example:
- “SO Confirmation Footer – EN”
- “Invoice Terms – Italian”
2️⃣ Entity Type
Select the relevant entity type from the dropdown list.
This selection is critical because:
- It determines which parameters will be available.
- It defines where the Standard Text can be used.
For all operational printouts, select:
CS (SO)
For financial printouts (i.e. Invoices) select:
Invoice
For commercial printouts (sales proposals) select:
Sales proposal
Choosing the correct entity ensures that the dynamic fields you insert will pull the correct data.
3️⃣ Language
Select the language of the text.
This is especially useful when:
- You manage multilingual customers.
- You configure different printouts per language.
Writing the Content
You will see a text editor where you can:
- Enter free text.
- Format text (bold, alignment, tables, etc.).
- Insert dynamic parameters.
Using Parameters (Dynamic Fields)
Under the Parameters dropdown, you can select predefined fields related to the chosen entity.
Examples:
- Shipment number
- Customer name
- Dates
- Amounts
When inserted into the text, these parameters automatically pull real-time data into the printout.
This allows you to create smart templates such as:
“We confirm shipment #{{Shipment Number}} scheduled for #{{ETD}}.”
At print time, the system replaces the parameters with actual values.
Adding Images
You can insert images into Standard Text.
Steps:
- Click the Image icon in the editor.
- Insert the image URL (publicly accessible link).
- Confirm.
This is commonly used for:
- Company logos
- Signatures
- Stamps
- Certification images
Editing the HTML (Source Mode)
Click the Source button to view and edit the HTML code of the Standard Text.
This is useful when:
- Adjusting table layouts.
- Controlling spacing and alignment.
- Applying advanced formatting.
- Troubleshooting display issues.
Changes made in Source mode directly affect the structure of the printed document.
Best Practices
- Use clear naming conventions for easier maintenance.
- Always select the correct entity type before adding parameters.
- Test the Standard Text in a printout before using it in production.
- Use HTML adjustments carefully to avoid breaking formatting.
Standard Text is a powerful tool for maintaining professional, consistent, and dynamic documentation across your operational and financial printouts.
