How to Use the Engagements Module

Learn how to create, assign, and track tasks and client-facing activities using Engagements in FreighTools.

The Engagements module is your built-in task and activity management tool. It allows you to create and track tasks linked directly to specific business records (like CS Traffic shipments or Partner profiles), making it easy to manage follow-ups, communications, and internal assignments over time.

To access this tool, navigate to your main menu, click Business Process, and select Engagements.

When you open the module, you will see a customizable list of all engagement records you have access to, sorted by the creation date (newest first).

Searching and Filtering

At the top of the list, you can use the Search bar for quick free-text searches. Just below or beside the search area, use the quick filters to narrow down your list by:

  • Created / Executed: Date ranges for task creation or completion.
  • Type & Priority: Categorize by task type (e.g., General) or urgency (Low, Medium, High).
  • Status: Current progress (e.g., New, In Progress, Resolved).
  • Origin: The source of the task (e.g., CS Traffic, Partner, Assignment).
  • Execution By / Verified By: The users responsible for doing or checking the work.

Pro Tip: Need a highly specific list? Click Edit Filter to open the Advanced Filter dialog. Here you can build custom criteria combinations, click Save to keep them for future use, and quickly load them later without having to manually set your dropdowns every time!

Customizing Your View

Click the Column Picker (grid icon) to tailor your list.

  • Drag columns between the Visible and Hidden lists.
  • Drag rows within the Visible list to reorder them.
  • Save your layout as a template, or click Restore Defaults if you need to reset.

Creating a New Engagement

To assign a new task, click the + New Engagement button at the top right to open the creation form.

Fill out the necessary details. Required fields are usually marked with an asterisk:

Key Details (Left Column)

  • Title: A clear, descriptive name for the task.
  • Type & Status: Defaults to "General" and "New."
  • Origin Reference: If this task is linked to a specific record (like a shipment number), it goes here.
  • Verified By: The user who will review the completed task.
  • Files: Click Select File to upload any relevant documents.

Assignment Details (Right Column)

  • Priority: Set to Low, Medium, or High.
  • Expected: The deadline (date and time) for the task.
  • Estimated Time: Expected hours to complete the job.
  • Origin: Where this task comes from (e.g., CS Traffic, Partner, or a manual Assignment).
  • Execution By: The person responsible for doing the work. (Defaults to you).
  • Description: A free-text area for notes. (Tip: Prepend your notes with today's date to use this field as a running activity log!)

Click Save Changes to create the engagement.


Editing and Managing Existing Engagements

To update a task, click the Pencil (Edit) icon on any row. The Edit form looks exactly like the New form, but with a few extra tools:

Updating Progress

As you work on a task, update its Status to In Progress. Once finished, change it to Resolved, and ensure you fill out the Executed date and the Effort Time (Hours) so your team can track actual time spent versus estimated time. Click Update (or the quick-save floppy disk icon) to save.

Accessing Linked Records

If the engagement is linked to a specific origin (like a CS Traffic shipment), you will see an Eye icon next to the Origin Reference field. Click this to jump directly to that specific shipment or partner record without losing your place.

Communication & Scheduling Tools

At the top left of the Edit dialog, you have access to two powerful actions:

  • Mails Log: Opens a full audit trail of all email communications sent and received regarding this specific engagement.
  • Add to Calendar: The engagement is added automatically to the FreighTools calendar, but you can also sync the task's expected completion date directly to your Mircrosoft or google calendar so you never miss a follow-up.
