Printouts define how operational and financial documents are structured, displayed, and formatted. They control what information appears, how it is organized, and how it looks when generated.
An initial set of printouts is already available. The most efficient approach is usually to clone an existing printout and then adjust it to match specific requirements.
Where to Find Printouts
Go to:
Configuration (⚙️) → Process Management → Printouts
Printouts are organized by entity type, such as:
- CS (SO)
- Invoice
- Sales Proposal
- Other document types
There are also special printouts (for example HBL, AWB, labels). These are managed differently and are not part of this guide.
General Settings Inside a Printout
Each printout includes formatting and display options that affect the entire document:
- Language
- Font size
- Line height
- Date format
- Number format
There are also checkboxes to include:
- Header
- Footer
For header/footer functionality to work, these must be configured in the company profile.
How Printouts Are Built
Printouts are constructed from blocks, and each block contains parameters.
This structure gives full control over layout and organization.
Block Width Options
Each block can be set to:
- 100% width (full page)
- 50% width (half page)
Parameter Width Inside Blocks
Within each block, parameters can be:
- Full width of the block
- Half width of the block
If a parameter sits inside a 50% block and is set to half width, it effectively uses 25% of the full page width.
Block Titles
Each block can have a title.
- The title text is editable.
- To show the title: leave the Text checkbox unchecked.
- If the Text checkbox is checked, the title will be hidden.
The order of the blocks in the document is determined by the order of the block title rows.
Managing Parameters Inside a Block
Parameters define which fields appear in each block.
You can:
- Select parameters from a dropdown list.
- Change the label (column name) under the Label column.
- Control the order of parameters within the block.
To remove a parameter:
- Click the X on the right side of the parameter row.
To add a parameter:
- Use the dropdown under Add.
Adding or Removing Blocks
To add a new block:
- Use the Printout Configuration dropdown.
- Choose the relevant block type.
Each selected block may come with predefined parameters.
You can:
- Remove individual parameters using the X.
- Add new parameters from the dropdown.
To remove an entire block:
- Click the X on the block title row.
Controlling Layout Order
There are two separate levels of order:
- Block order → determined by the sequence of block titles.
- Parameter order → determined inside each individual block.
Both levels can be arranged independently.
Making Fields Editable in the Preview
To allow a parameter to be edited directly in the printout preview:
- Check the Editable checkbox for that parameter.
This is useful when a document needs small manual adjustments before finalizing.
Using Standard Text Inside a Printout
To insert predefined content:
- Add a parameter called Free Text.
- After selecting it, a dropdown will appear next to the parameter under Add.
- Choose the relevant Standard Text.
Important rule:
- Do not reuse the same Free Text field for multiple sections.
- Each one must be unique (for example: Free Text 1, Free Text 2, Free Text 3).
This allows multiple Standard Text sections to appear in different parts of the document.
Previewing the Printout
After saving:
- Click the Preview button at the top.
- Choose an entity to populate the document.
The system will generate a sample version using real data so you can review:
- Layout
- Labels
- Order
- Formatting
- Standard Text placement
** Header and footer are not available in the preview
Recommended Workflow
- Clone an existing printout that is closest to your needs.
- Adjust formatting (language, fonts, date format).
- Modify blocks (add/remove/reorder).
- Adjust parameters and labels.
- Insert Standard Text where needed.
- Use preview to validate the final structure.
This approach reduces setup time and helps maintain consistency.
