The Physical Addresses module is your master registry for all real-world locations used in FreighTools. This includes partner offices, warehouses, ports, rail stations, and factories. Keeping this database accurate ensures that location data flows seamlessly into your routing, customs documentation, and CFS operations.
To access this module, navigate to Master Data → General → Physical Addresses.
Navigating the Physical Addresses List
When you open the module, you will see a comprehensive list of all saved locations.
Searching and Filtering
Because this database can contain tens of thousands of records, using filters is the best way to find what you need. At the top of the list, you can:
- Search Bar: Type freely to search across all address records.
- Country: Filter locations by a specific country.
- Address Type: Filter by the kind of facility (e.g., Air Port, Customs Office, Factory, Office, Rail Station, River Port, or Drone Base).
Pro Tip: Both the Country and Address Type dropdowns have a search-within feature. Just click the dropdown and start typing to instantly find the exact option you need!
Understanding Address Types & System Records
Every address in FreighTools is categorized by its Address Type. This classification dictates where the address will appear in the system. For example, if you are creating an air freight shipment, only "Air Port" addresses will be offered in your routing options.
User Records vs. System Records
- User Records: Addresses you or your team create, such as a partner's office or a local factory. You can freely edit or delete these.
- System Records: Internationally recognized transport hubs (like major Rail Stations and Air Ports) pre-loaded by FreighTools. These often include a UN/LOCODE and strict Geo Coordinates.
Note: System records are read-only. When you open one, you will see a red warning banner. If you spot an error in a system record, you cannot edit it yourself—please contact support@fast-apps.com to request a correction.
Creating a New Physical Address
To add a new location, click the + New Physical Address button at the top right.
While only Name, Country, and Address Type are strictly required by the system, we highly recommend filling out the street address, city, and contact details to ensure the record is fully usable.
Key Fields to Know
- Partner: Link this address to a specific partner company. Once linked, this address will appear as a selectable pickup/delivery location when building shipments for that partner.
- Active: Checked by default. Unchecking this hides the address from future selection menus without deleting its historical data.
- UN/LOCODE: The internationally standardized code for transport hubs. This is crucial for customs and accurate international routing.
- Geo Coordinates: The precise GPS location (format:
latitude;longitude). This enables mapping features within FreighTools. - Available for Stock: Located at the bottom of the form. Check this box if the location can physically hold inventory. This makes the address selectable in your CFS and warehouse management workflows.
Once you have entered the details, click Save Changes.
Editing an Existing Address
To update a user-created address, click the Pencil (Edit) icon on its row.
The Edit form looks just like the creation form, but the title will display a helpful summary of the address (e.g., Country, Zip, City, Street, and Partner Name) so you know exactly what you are editing.
Make your necessary changes and click Update (or use the quick-save floppy disk icon). If you need to permanently remove an address, click the Delete button at the top right.
